A complete request for quotation gives a manufacturer enough information to assess feasibility, identify open decisions and calculate costs using consistent project assumptions. It also reduces delays caused by conflicting drawings, missing packaging details or unclear quantity splits. Document Control

Control Drawings, Samples and Supporting Files

Identify the main technical reference for every item. It may be a dimensioned drawing, specification sheet, annotated image, physical sample or a combination of sources. SHENGLIAN can review these materials, but the RFQ must clearly state which source controls the quotation. Every drawing or specification should include the product reference, measurement unit, version number and revision date. If a physical sample differs from a drawing, state whether the sample controls shape and appearance or the drawing controls dimensions. Remove obsolete files or label them clearly as superseded.

Record the file name, version, date and units to control product dimensions and structure.

Technical Definition

Specify Dimensions, Structure and Required Function

Provide the overall length, width and height, followed by component dimensions affecting assembly, fit, compartments or use. Mark the measurement unit on every drawing and table. For storage products, define the compartment layout and usable space. For assembled products, identify components, joining points and the required assembly format. If the product must fit another object or space, provide the relevant dimensions and show where contact or clearance matters. Separate fixed requirements from details open to technical review. An overall footprint may be fixed for retail shelving, while a compartment width may remain adjustable after feasibility review. Do not state an unsupported tolerance, load rating or performance value. If a value is essential, provide the requirement and explain how it will be assessed. Include processing-relevant features such as handles, lids, slots, drainage, removable parts, adjustable sections or supported-item contact points. SHENGLIAN can assess structural, dimensional, appearance and functional adjustments against the submitted brief.

Material Direction

Describe the Material, Surface and Visual Target

State whether the requested material is bamboo, wood or open for recommendation. When the choice is open, describe the intended use, construction, appearance and commercial priorities so the material discussion has a clear basis. Record any known construction direction, colour, texture and surface expectations. Use clear visual references rather than broad terms such as natural, premium or smooth. An annotated image can identify visible surfaces, areas requiring a consistent appearance and less critical details. If the product must match an existing range, provide a physical reference, colour reference or product image. Explain whether each reference controls colour, grain direction, shape, surface feel or overall presentation. Final material and appearance decisions can then be reviewed through the sample process rather than left to subjective interpretation.

Order Configuration

Break Down Quantity, Variants and Branding

Provide the estimated order quantity for each product reference. If the project includes several sizes, colours, logo versions or packaging versions, show the quantity for every combination. A total project quantity without this breakdown may conceal low-volume variants requiring separate feasibility and cost reviews. SHENGLIAN’s minimum order quantity is 1,000 units. Final confirmation depends on the product, order quantity, material, dimensions, branding method, packaging and customization requirements. Where several variants are involved, do not assume the combined project total automatically applies to every configuration. Verified decoration capabilities include laser engraving and screen printing. The suitable method must be reviewed against the product material, surface, artwork and required appearance. Keep product branding separate from labels, barcodes and packaging artwork so each element can be checked independently.

Packing and Testing

Declare Packaging and Testing Requirements

State whether the quotation should use standard export packaging or custom retail packaging. Define the sales unit, such as one product, a coordinated set or several pieces packed together. Provide the pack quantity and known requirements for labels, barcodes, inserts, printing or cartons. Packaging can affect protection, unit cost, carton configuration and delivery planning. If the final retail format is not ready, identify the current quotation assumption and mark the packaging design as open. Detailed artwork, label, insert, inner-packing and carton information can be prepared separately. Declare food-contact use and list known customer or destination-market testing requirements. Material and finished-product testing can be arranged according to customer and destination requirements, but applicable standards, laboratories, reports and certifications must be confirmed for each project. Do not assume one testing requirement applies to every market.

Commercial Planning

Set the Delivery and Commercial Assumptions

Provide the destination country or region, requested delivery window and any known receiving-point information. State whether the requested date refers to production completion, dispatch, arrival or another milestone. List required Incoterms, shipping arrangements or commercial conditions as buyer requirements, and mark undecided points as open rather than assuming a term. Payment terms, Incoterms and shipping arrangements are confirmed in the project-specific quotation or sales contract. Quotations are based on confirmed product specifications, quantity, packaging, testing and delivery requirements. Standard sample development takes approximately 10–15 working days, depending on product structure, processing requirements and revision count. Bulk production normally takes 30–45 days after sample and order-detail approval, subject to product complexity, quantity, packaging and the production schedule. These planning references are not shipment-date commitments.

Final Review

Check the RFQ Package Before Submission

Review the RFQ package as one controlled record. Unknown information does not need to be hidden or guessed. Mark it as open for recommendation and explain the remaining decision. If you want more than one material, structure or packaging option assessed, identify each option separately so alternatives can be compared without confusing the base specification.
