Final sample approval records the buyer’s decision that the physical item meets the agreed requirements. The record should identify the accepted sample, drawing or specification version and retain any final comments attached to the product requirements. Verbal approval alone can leave uncertainty about which version or change was accepted. Sample approval does not release bulk production by itself. Quantity, packaging, testing and other project requirements must also be confirmed.
